Privacy policy
This policy covers the KJIT IT Service Desk website and the "IT Desk" technician app (Android), run by the IT department of KJIT, Gujarat, India. They are used only for IT support and hall bookings inside the KJIT campus.
What we collect
- When you report a problem or book a hall: your name, institute, department, email and/or phone number, the details you type (problem, location, asset tag, event name, time, equipment needed) and any photos you attach.
- Technicians and the IT Head: name, username, work email, phone, support level, and the work they do on tickets, bookings and maintenance (replies, status changes, times).
- On your device: the app keeps a copy of the data you can see, your sign-in session and your settings (dark mode, sounds), so it opens quickly and works with a weak connection. Your complaint numbers are remembered on the device you used.
We do not collect location, contacts, advertising IDs or payment details. There are no ads and no tracking for marketing.
Turnstile privacy addendum (complaint form)
Before a complaint is sent, the form asks you to pass the "I am human" check, which is provided by Cloudflare Turnstile. It helps stop automated spam, so that real complaints reach the IT team.
- What is sent to Cloudflare: a check token created in your browser, plus the technical details any website request carries, such as your IP address, browser type and the page you are on.
- What it is used for: only to decide whether you are a person. We do not ask Cloudflare for your personal details.
- What we keep: our server sends the token to Cloudflare to confirm it. The token itself is not saved with your complaint. If a complaint is held back as spam, the complaint details are kept so the IT team can review them, not the token.
- Cookies: Turnstile may set a short-lived technical cookie to remember the check. It is not used for advertising or tracking.
- Cloudflare's own policy: Cloudflare handles that data under its privacy policy at cloudflare.com/privacypolicy.
If the check cannot load, the form still works for real people and the IT team relies on its other spam checks instead.
How we use it
- To fix the problem you reported, contact you about it, and show you its status.
- To confirm and support hall bookings.
- To send work alerts to technicians, and team reports and performance figures to the IT Head and authorised trustees.
Where it is stored
Data is stored in KJIT's Google Workspace (Google Sheets, Google Drive for photos and reports, Google Apps Script) and in Google Firebase (Cloud Firestore) for fast loading. These are provided by Google under Google's terms. Data is sent over encrypted connections (HTTPS).
Who can see it
- KJIT IT staff, according to their access level.
- Trustees and institute heads see summary figures only.
- Your complaint's tracking page can be opened only with its private link or with your number plus the email or phone you gave.
We do not sell or share personal data with anyone else.
How long we keep it
Tickets and bookings are kept for the college's records. Cancelled bookings are deleted automatically one day after cancellation. The IT Head can permanently delete tickets, bookings and accounts.
Your choices and deleting your data
You can ask for a ticket, booking, or technician account and its data to be deleted. Email the IT department at rahulpandya.kjcampus@gmail.com or contact the IT Head. Deletion is done within 30 days, except where the college must keep records.
Children
The service is meant for KJIT staff and students and is not directed at children under 13.
